Volunteer Roles

Every family that registers for the swim team is required to commit to 20 hours (or "credits") per swim season. You must sign up for your hours prior to completing registration. Here is a little more about the positions: 

Current Board members:

 Kat and Patrick Hussmann, Camila Torrella, Andre Butters, Elena Belyaev


Board positions:
 

All board positions fulfill the requirement for volunteer hours for the family. Please let us know if you are interested in helping with any of these roles; we are always looking for ways to train new individuals to get the experience! 

President (Andre Butters) , must have been on team for 2 years

  • Maintains relationship with HOA by attending HOA meetings and communicating with HOA, give a yearly report to HOA
  • Assists with recruitment of new team members and families
  • Leads and runs Board meetings once every three months, and as needed, decides on agenda
  • Is the secondary in charge of budget, advises on budget concerns and allocations, is co-signer on bank account
  • Gets insurance by Jan

Vice President (Camila Torrella)

  • Supports the president and fulfills roles when unable
  • Assists A rep in hiring of coaches

Secretary (Yvonne Butters)

  • Attends and takes notes at all board meetings
  • Orders t shirts, bag tags, swimsuits and team swag
  • Updates the records board (physical)
  • Helps design and manage website
  • Manages social media accounts (X, Facebook, Instagram)

A Rep (Kat and Patrick Hussmann) must have been on the team for 2 years

  • Attends all MCSL meetings
  • Runs all MCSL A meets
  • Sends out biweekly communications with details on the season during the season
  • Together with the VP, hires coaches

Treasurer (Elena Belyaev)

  • Collects all funds for registration and approves registrants on website
  • Co-signer on bank account
  • Does team taxes

Non-Board, season long positions

B rep (Jill Fuster)

  • Runs all B meets
  • Runs B meet carnival

Social Chair- (Kay LaBanca) - reports to VP

  • Coordinates all team Friday night pep rallies (manages food, drinks, volunteers)
  • Coordinates Firecracker relays (gets food, drinks, volunteers)
  • Coordinates Senior meet (gets food, drinks, gifts for seniors)
  • Communicates with team about ad hoc social events

Officials Chair (Jill Fuster)- reports to A rep

  • Coordinates and fulfills all official volunteer slots
  • Assures all officials are up to date on all trainings
  • Steps in to officiate when others are not signed up

Volunteer coordinator (Elyce Brauerman)- reports to A rep

  • Recruits and records all volunteers
  • Assures all volunteer positions for meets are filled prior to the night of the meet
  • Signs all volunteers in upon arrival at all meets
  • Finds additional volunteers when needed

Fundraising Chair- (Catherine Pastoor)-reports to treasurer 

  • Contacts via email or phone businesses willing to donate money to our nonprofit (team)
  • Gets banners from sponsors and logos for the team to put on the program, website, and shirt

Automation Chair- (Currently recruiting for 2025 season)- reports to A Rep

  • Coordinates and runs automation and assures everyone is properly trained in automation for all meets
  • Responsible for maintaining automation equipment (paper, printer, cartridges etc)

Banquet coordinator (Camila Torrella and recruiting for 2026 season)- reports to VP

  • Rents the banquet room at North Potomac
  • Orders cake
  • Buys all supplies and decorations for team banquet
  • Orders all awards for the team banquet and minimeet

Concessions manager-(Currently recruiting for 2025 season)- reports to President 

  • Goes to Costco to purchase water, Gatorade, and snacks for concessions
  • Orders pizza for B meets (for 5pm) 
  • Picks up donuts and bagels for home meets on Saturday mornings, gets them there by 7:30am
  • Gets food permits for events


Volunteers needed for each meet

Referee (Requires MCSL training)

Stroke and Turn Judge (Requires MCSL training)

  • Attend S&T Training through MCSL
  • During meets, assures all swimmers are completing the strokes and turns legally

Automation (Requires MCSL training)

  • Attend Automation training through MCSL
  • During meets, enters into the software program all times handed to them by the runner.
  • Prints out the results and places them in a viewing location to make them available for swimmers and families

Starter (Requires MCSL training)

  • The Starter is responsible for starting all of the races
  • The starter has an automated device that is both audio and visual for the starter

Head Timer

  • The head timer leads the meeting prior to the meet to let all timers know what to expect and answers any questions
  • The head timer resolves any issues with timing during the meet

Timer

  • Timers are responsible for collecting the time for the swimmer in their lane. 
  • Timers write down the time for the swimmer and hand the times to the runner.
  • For each race, three timers are needed per lane

Runner

  • The runner takes the times from the timers and delivers them to the automation table
  • Usually, we need two runners per meet to keep up with the pace of the events

Round Up

  • This individual works with the coaches in the team area to help the swimmers get to the staging area on time and organized
  • Round up is great if you have young swimmers and want to assure that they are getting to the staging area, and you also get to know the team well

Clerk of Course

  • Clerk of course is responsible for writing all of the events on the swimmers hands and keeping track that the meet is going according to schedule
  • The clerk of course also checks in each swimmer and helps alert the team when swimmers are missing from events

Hospitality

  • Hospitality helps organize the food and beverages for all of the volunteers
  • This individual also circulates on deck to assure that all volunteers have water, and carries around water for the volunteers
